For transparency, I, (Brenda Rockward) a.k.a. Coach Brenda of Brenda Rockward Coaching LLC is a certified life coach, not a doctor and thus not able to give medical (mental or physical) advice from a medical standpoint.

BRENDA ROCKWARD COACHING LLC company preference currently involves online sessions only for all coaching services. It is up to the owner/provider of BRENDA ROCKWARD COACHING LLC to comply with or deny certain service requests. This includes, or in addition to and if accepted, only service adult clients typically aged 30 and above, but not excluding clients under 30 years of age.

Coaching of MINORS (anyone under the age of 18 years) is NOT allowed coaching services through BRENDA ROCKWARD COACHING LLC.

The only exception to this disclaimer is regarding a family unit coaching environment with minors at the request of the parents or legal guardians or an organization that provides professional services to minors from the age of 13 up to 17 years of age requesting BRENDA ROCKWARD COACHING LLC services. Parents must sign a disclosure agreement acknowledging this family coaching arrangement and that minors are Client participants of the sessions, or individual Client participants of the session (no parent present). The same rules apply to an organization that provides professional services to minors that must include a signed parental disclosure agreement or a signed legal guardian disclosure agreement given to BRENDA ROCKWARD COACHING LLC to provide services to any child or children under the age of 18 years.

If a potential Client decides to move forward and become a paying Client after the Free initial consultation, the Client pays for their chosen session(s). Once the payment clears, then a Welcome Packet which requests a photo ID is sent to the Client electronically. If the Client prefers the Welcome Packet be sent via email or postal mail, the Client must request this in writing. In either case, the Client must return the signed Welcome Packet documents and include a government ID photo for safety and identification purposes and it must be received no later than 24 hours prior to the Clients first scheduled coaching session. Clients are able to schedule coaching sessions online directly from Brenda Rockward Coaching LLC website. The exception to this rule is if a specialized contract has been designed based on a Clients request. See Group Coaching for more information for this exception.

CONFIDENTIALITY

This coaching relationship, as well as all information (recorded, verbal and or documented) that the Client shares with the Coach as part of this relationship, is bound by the principles of confidentiality set forth in the ICF Code of Ethics. However, please be aware that the Coach-Client relationship is not considered a legally confidential relationship (like the medical and legal professions) and thus communications are not subject to the protection of any legally recognized privilege. The Coach agrees not to disclose any information pertaining to the Client without the Client’s signed consent. The Coach will not disclose the Client’s name as a reference without the Client’s signed consent.

RECORDED SESSIONS

Recorded coaching sessions is a requirement to better serve my Clients and for my professional development as a Coach. The recorded sessions are not shared with Clients. Having a session without recording is where the moment of what was said has gone and cannot be recovered from either Client or Coach. Recording sessions capture the moment, adds value and validity. The exception here is if the Client requests not to be recorded. In lieu of recording in this case, handwritten notes will be taken by the Coach during each session and will not be shared with the Client. It is highly encouraged that the Client take handwritten notes as well.

All coaching sessions, including the Free initial consultation, are handled online using Zoom as the live communication interface.

ICF CREDENTIALING

For later professional development, I [Coach Brenda] plan to obtain credentialing certification with the International Coaching Federation (ICF) for which one unedited audio recording with a transcript of the session is required for part of the ACC credentialing process as each number of required recordings is different for the level of credentialing a coach is seeking to acquire. Clients will always be asked for their signed consent for this specific development.

NATURE OF THE RELATIONSHIP

BRENDA ROCKWARD COACHING LLC does not accept any form of insurance from Clients covering coaching sessions as the fees required are out-of-pocket expenses for each client.

The Client acknowledges and understands that BRENDA ROCKWARD COACHING LLC terms serve as a non-inclusive agreement as there may be documents and other requirements that the Coach will ask of all Clienteles.

Client understands that “Free Consultation” is not part of the scheduled sessions as the proposed Client is not a Client at this point. Once the Client has paid for services, he or she develops “Client” status and any in-between session emailing’s to the Coach to ask questions or if the Client has a concern is not part of the scheduled sessions [UNLESS STATED ELSEWHERE or OTHERWISE] and does not add on or reduce any time related to scheduled sessions.

Client’s face(s) must be visible during the free consultation and during all online coaching sessions for security purposes to be sure you are who you say you are. If you decide to move forward with sessions an official government photo ID ) is a mandatory required attachment to send back with the Welcome Packet for legal proof as well as Client and Company safety practices. Photo ID’s are required from every person signed up for online coaching sessions.

The Client is solely responsible for creating and implementing his/her own physical, mental and emotional well-being, decisions, choices, actions and results arising out of or resulting from the coaching relationship to include his/her online coaching, calls and interactions with the Coach. Client understands that the Coach does not control the direction of the Client’s life. The Client understands that through coaching sessions the Client and Coach will be dealing with the Clients present situation and future, but NOT delving into the past in a therapeutic manner.

As a member of the International Coaching Federation “(ICF)” and at some point, pursuing certification credentialing from this organization please note that the Coach agrees to maintain the ethics and standards of behavior established by the International Coaching Federation “(ICF).” It is recommended that the Client review the ICF Code of Ethics and the applicable standards of behavior at www.coachingfederation.org/ethics.

Furthermore, the Client agrees that the Coach is not and will not be liable or responsible for any actions or inaction, or for any direct or indirect result of any services provided by the Coach. Client clearly understands that coaching is not counseling, therapy or advice such as legal, financial, medical, psychological, psychiatric or otherwise and does not substitute for therapy of any kind, nor mental health care or substance abuse, and does not prevent, cure, treat, or diagnose any mental disorder or medical disease. Clients will need to get an expert for help in these areas.

If a proposed Client has any history of mental health disorders, disease or substance abuse and would like to have coaching services, the proposed Client fully understands that the Coach has the right to deny services if the proposed Client denies or refuses to provide a signed letter from his or her mental health care provider indicating that he or she (proposed Client) would benefit from coaching services as a paying Client and identifying which chosen coaching service entity in the letter. An approved signed letter directly from the Client’s mental health care provider must be presented to the Coach before any coaching services are accepted and will be legally validated once they are presented.

Specifically for the Health & Wellness Coaching service option, any health-style changes or health style regimen plans the Client creates during this coaching service is advised not to carry out his or her plans until first notifying their physician and obtaining physician approval. BRENDA ROCKWARD COACHING LLC requests that a letter of approval from the physician on the physician’s letterhead with contact information for future Client reference be sent to BRENDA ROCKWARD COACHING LLC for our records.

Survey Request

At the end of all coaching sessions, whether it’s individuals, couples, family, businesses, educational institutions, or other organizations, Clients will be asked to fill out a survey to help the Coach develop and execute more ways to better serve Clients.

Termination Clause
Either the Coach or the Client may terminate the Coaching Agreement at any time, which includes and supports the inclusion of the type of coaching service choice the Client paid and what the company policy states for that coaching service area regarding cancellations, terminations, refunds and all others. In the event of do harm to the Coach from the Client or the Client is found to possibly do harm to themselves, the Coach has full authority to terminate the Coach and Client relationship without any recourse or refunds due to the Client, and the necessary authorities will be contacted. Furthermore, and not affiliated with (event of due harm clause) the Coach may provide a letter of referral (but is not obligated to do so) to the Client if the Coach and Client relationship is not working out and the Client would be best coached elsewhere.

SCHEDULES

(All coaching sessions take place online via Central Standard Time).

Once a Client schedules a session, he or she may not be able to reschedule under the host WIX WEBSITE portal feature using the built-in calendar. The Client must contact the Coach ASAP if he or she is having this kind of situation so rescheduling can take place immediately.

No Session can be assigned to another person, group or other entity.
Coaching sessions will be held online and last for the appointed time regarding the chosen coaching service choice.

Any scheduled follow-up information is duly noted on BRENDA ROCKWARD COACHING LLC website, in this general disclaimer and in the Client Welcome Packet.

Brenda Rockward Coaching LLC will ask the Client for their agreement in advance during online bookings to continue to charge your credit card on file for the time you have scheduled for a session(s) [i.e., month, year] as applicable.

CANCELLATIONS

NOTE: Client agrees that it is their responsibility to notify the Coach within the stipulated time limits mentioned in their contract regarding scheduled session(s).

Cancellation Policy

Brenda Rockward Coaching LLC enforces a 48-hours’ notice for cancellation. Once a Client pays for his or her coaching service the Client has 48 hours to cancel. If the Client cancels 24 hours after the initial 48 hours have passed, the Client will not receive a refund.

Service prices are subject to change due to normal economic supply and demand. Established Clients will be notified of this change but will not be affected by the change if they remain an established Client.

A cancellation recovery notice will be emailed to the Client if the Client cancelled their session by mistake and must email the coach a written and signed letter indicating the mistake. Again, it is the Clients responsibility to notify the Coach within the stipulated time limits mentioned in their contract regarding scheduled session(s).

THESE NOTED CANCELLATIONS POLICIES ARE NOT AFFILIATED WITH ANY FUTURE WEBINARS, WORKSHOPS, SEMINARS, PROGRAMS, OR OTHER EVENTS) as these will have a different cancellation policy enforced as well rules and regulatory policies as applicable.

REFUNDS

As previously mentioned, if the Client cancels 24 hours after the initial 48 hours have passed, the Client will not receive a refund.

No Shows

Clients that do not show up for paid scheduled session(s) and have failed to contact the Coach 48 hours post scheduled session(s) to reschedule which includes Clients that repeatedly do not show up for scheduled session(s) and do not contact the Coach 48 hours post scheduled session(s), will not receive a refund for the no-shows. The Client will be emailed a termination letter for dissolving services.

Unused Sessions

Clients that may have unused paid sessions and no longer require the Coach’s services or cannot continue due to reasons beyond their control may receive a refund for the unused portion only if it has not been 15 days post initial payment.

The Client must contact the Coach before the 15-day end period for this type of cancellation and present the reason in a written, signed letter via email indicating the intent that you (the Client) no longer require the coach’s services or extended agreements regarding your unused paid coaching session(s) to receive a refund for the unused session(s) portion.

After 15 days, the Client will not receive a refund of the unused paid session(s). The Client will be emailed a termination letter for dissolving services.

EMERGENCY EXCEPTIONS

Sessions that are cancelled for emergency reasons by the Client and not rescheduled with the Coach within the 24 hours (post emergency) will not be made up and the Client is still responsible for paying any associated fees for the session(s) if not already paid in full.
If the Client fails to contact the Coach to reschedule after the next 24 hours’ following the first 24 hours post emergency, no refund of any remaining paid session(s) will be given.
No more than 2 emergencies allowed over the course of a Client’s paid scheduled session(s) to avoid penalties.
After 2 emergencies, the penalty is that the Client cannot make up any missed sessions, and no refunds will be given for any remaining paid scheduled session(s).

NOTE:

The Coach has the right to reinstate or deny services to the Client pending emergencies that may happen after the first 2 emergencies. For and if the Coach allows the Client to be reinstated, the Client must submit via email to the Coach a written signed letter indicating the reason for the emergency as per the Coach’s instructions and schedule the missed session(s) within 24 hours. If the Client fails to make up the rescheduled session(s) a termination letter for dissolving services will be emailed to the Client.

FAILED PAYMENTS

If a Client’s payment is insufficient or notice of a failed payment is received by BRENDA ROCKWARD COACHING LLC, the Client will receive an emailed notice concerning this and another method of payment by the Client must take place immediately. If the Client does not take immediate action to remedy the issue within 24 hours the Client will receive via email a termination letter for dissolving services.

GROUP COACHING

Group Coaching is by REQUEST ONLY and does not include personal nor one-on-one coaching.

Group Coaching involves designing a Welcome Packet specifically for the Group’s need based on the request from the Group’s Organizer (i.e. content to cover what is the desired objective and outcome (if applicable), and the capacity of attendees). Group Coaching is limited to no more than 4-8 attendees at a time.

As per company policies, the cost generated for Group Coaching is per hour per day arrangement and will be based on the capacity of attendees, the time period the Coach is needed plus any additional materials required or requested.

The organizer who requests a Group Coaching session(s) has control over Group scheduling. However, the organizer must not cancel or reschedule any coaching session(s) without first contacting the Coach as per Brenda Rockward Coaching LLC company policies.
